Welcome
We at the Department of Physical Services welcome you to your new residence. One of our objectives is to provide you with the best apartments, grounds, and common areas that our resources will allow. Through the efforts of our devoted staff, you can be confident that your apartment will be in an excellent condition at the time you move in.
In order to make your maintenance and other department needs easier to meet, we have developed this informational brochure. Just as you will depend on us for your maintenance needs, we will depend on you to keep your apartment in a clean and safe condition, and to let us know if something is in need of repair. Again, we welcome you and we hope you will find our personnel pleasant and most helpful.top of page
Before You Move In
Once you have decided to lease with us, we will ask you to accompany a member of our staff for a basic orientation of your apartment. This serves a two-fold purpose. First, it provides you with a brief hands-on training on items such as how to work the appliances and the heating system correctly, how to turn off your water at a valve (if necessary), where and how to dispose of your garbage, etc. Second, a move-in inspection of the apartment will be performed that will provide a reference point as to the condition of the unit, which will then be used to compare to future inspections.top of page
After You Move In
After you have settled in, if you have maintenance needs, please telephone us at 232-4780. We will respond to any emergency request immediately, while all other requests will be handled in order of priority. At the time of your maintenance request, our staff may ask you several questions about the problem, so please be patient and cooperative. By doing this, we are trying to pinpoint exactly what is wrong in order to equip our maintenance staff with the appropriate tools and materials, hopefully preventing a return visit. Upon receiving your request, we will also ask you if we can enter your apartment if you are not at home when we arrive. For your protection, please be aware that every time a staff member enters your apartment, they will check your smoke / carbon monoxide detector(s) to see that they are working properly. And just in case you were wondering, we’re sorry, but we do not repair resident owned appliances, electronics, and other furnishings.top of page
In Case the Authority is Closed
This department provides to you a 24-hour emergency maintenance response service. If you have an emergency maintenance issue after office hours or at other times the Authority is closed, please call our Maintenance Dispatcher at 232-4780. If by chance there is no answer, please leave a message (including an address and call back number). The message system will immediately page the Dispatcher and inform him to respond to your message. Please remember though, these are maintenance emergencies. If other emergencies should arise, do not hesitate to call 911. You will be presented with a listing of emergency maintenance needs as defined by the department during the move-in orientation.top of page
Inspections and Preventive Maintenance
At least annually, and at other times if necessary, a member of our staff will conduct an inspection of your apartment. This procedure normally takes about 45 minutes, and it makes us aware of any deficiencies or repairs that need to be corrected. Also during the inspection, the Authority makes an assessment of how well you are taking care of your apartment and to see that you are abiding by the lease, so please keep your unit and surrounding exterior areas in a clean and well-kept condition. Preventive maintenance performed by the department includes pest control services (every 30-40 days), furnace filter changes (if applicable), and heating system checks (seasonal). Whether for inspections or preventive maintenance, you will receive a notice at least 48 hours prior to our staff entering your apartment. As stated in your lease, though, if an emergency situation exists at your apartment (or in some cases, multiple apartments in a building), the Authority reserves the right to enter without prior notice.top of page
